MAIN DUTIES / RESPONSIBILITIES:

1. Take up all secretarial duties of the DOF's Office, including the monitoring of DOF’s working diary.

2. Produce letters / memos / emails for DOF.

3. Maintain the filing system in the DOF's Office.

4. Follow up on the renewal of contracts / licenses / certificates taken care by the DOF's Office.

5. Administer insurance issues including renewal and claims.

6. Relay the DOF's instructions to associates and follow up.

7. Circulate training information, news, and memo to Accounts associates.

8. Handle stationery requisition for the Accounts Office and maintain appropriate stationery stock.

9. Order water and water delivery follow up for all offices.

10. Handle car park coupons for outlets.

11. Maintain all office equipments of Accounts Office in good conditions.

12. Translate and interpret orally and written documents.

13. Schedule and properly prepare all documents for Director of Finance’s approval.

14. Keep Director of Finance appointments, engagements and meetings and to assist in planning his day.

15. Organize and attend meetings, including the preparation of agenda and minutes.

16. Keep track and ensure the proper maintenance of all contracts, agreements, licenses, permits, insurance policies, legal records and all the other important documents.
17. Keep and update the attendance leaves and personnel records of all accounting associate.

18. Schedule accounting associates and/or witnesses the counting of daily cash receipts collected by General Cashiers.
19. Respond to the changes in department functions as dictated by the industry, the company or the hotel.

20. Have a complete understanding of the hotel policies relating to fire, safety and hygiene.

21. Ensure the compliance of Marriott Genuine Care Culture.

22. Respond to the changes in departmental functions as dictated by the industry, the company or the hotel.

23. To carry out any other duties and responsibilities as assigned.
